WHAT IS AN AUTOFLOW?

Autoflows are Everfit's most powerful tool. With Autoflow, coaches can create a training template — that has workouts, tasks, and auto messages — to coach tens or hundreds of clients at once. Seamlessly automate training programs, habit coaching, and accountability.

WHO IS USING AUTOFLOW?

Personal trainers, gyms, and sports coaches all use Autoflow. Whether you’re looking to acquire new clients or nurture your existing base, our automation enables you to create a highly personalized experience for every client, in less time.

WHAT CAN YOU BUILD WITH AUTOFLOW?

Autoflow is powerful and flexible enough to create a wide variety of programs. Here are just a few examples.

  • Run a 30-day online fitness challenge

  • Run a weight-loss challenge for your gym

  • Train a group of multi-level athletes

  • Provide tiered tailored programming options

  • Automated check-in and onboarding process

EXAMPLE OF USING AN AUTOFLOW

Below is an example of using an autoflow to create an online fitness challenge -- with scheduled training workouts, tasks (such as taking progress photos and meditating), onboarding announcements, and personalized auto messages to check in on your clients.

WHAT SHOULD CLIENTS EXPECT?

If you add a client to an active Autoflow, they will automatically receive an automated delivery of training materials (workouts, tasks, messages, announcements, leaderboard…)

TYPES OF AUTOFLOW

There are two types of Autoflows: “By Exact Date” and “By Day Sequence”.

  • With the “By Exact Date” Autoflow, clients will participate in group training with the same schedule synced across the Autoflow.

  • With the “By Day Sequence” Autoflow, all you need to do is set up a schedule of programming once, and you can reuse the same sequence for more clients even if they start on different dates. ⚡

WHAT IS INSIDE AN AUTOFLOW?

Using our calendar-based interface you can plan out every interaction you’ll have with your client during the Autoflow. This includes...

  • Settings: All clients inside an Autoflow will adopt the same feature settings and body metrics settings. You can edit each client individually afterward. Read more.

  • Training: Schedule workouts or add a template program. Use %1RM or alternate exercises to offer variability for different clients. Read more.

  • Tasks: Automate delivery of pre-make weekly check-ins, progress updates, and habit reminders! Read more.

  • Announcements: Schedule program updates, motivations, and marketing, onboard your clients, share a video update, or post a long-form message to enhance personal connection. Read more.

  • In-App Auto Messages: Schedule personalized reminders and check-ins, or share photos and videos with automated messages. Read more.

  • Leaderboard: ​​Create a competitive leaderboard to motivate members of the Autoflow. Read more.

    • Community Forums: Connect and showcase the leaderboard in one of your community forums. Read more

ADD/REMOVE/PAUSE/COMPLETE CLIENTS IN AUTOFLOW

I. ADDING CLIENTS

If you add a client to an active “By Exact Date” Autoflow, all workouts, tasks, and auto-messages from today onwards will be synced to the clients’ calendars.

When adding a client to a “By Day Sequence” Autoflow, you, as a coach, can select the date and the day of the Autoflow that the client will start on.

II. REMOVING CLIENTS

When removed from the Autoflow, workouts, tasks, announcements, and auto-messages from today onwards will be removed for the client. The client will be removed from the client list and Autoflow insights.

III. PAUSING CLIENTS

When removed from the Autoflow, workouts, tasks, announcements, and auto-messages from today onwards will be removed for the client. The client will be removed from the client list and Autoflow insights.

When the client is paused in the Autoflow, workouts, tasks, and auto-messages from today onwards will be removed for the client. However, the client will remain in the Clients tab of Autoflow

IV. MARKING CLIENTS AS COMPLETED

Marking a client as completed for an Autoflow will save client data in Insights and allow the client to join another Autoflow.

V. UNDERSTANDING CLIENT STATUS IN AUTOFLOW

Only “Connected” and “Pending” clients can be added to an autoflow which can be activated or paused at any point. There are 4 client statuses within an autoflow.

  • Active: Clients that are currently receiving assignments (workouts, announcements, and tasks) from this Autoflow.

  • Paused: Clients that are not receiving any new assignments from the Autoflow. Any assignments in the past will remain on their calendars.

  • Waiting to Start: Clients that have not yet started this Autoflow. So they have yet to receive any assignments.

  • Completed: Clients are finished in the Autoflow and can now be added to another Autoflow that syncs settings. If you want to run the same Autoflow for the client, you will need to remove them first.

VI. UNDERSTANDING AUTOFLOW STATUS

  • Paused: When Autoflow is paused, all active clients within the Autoflow will be paused. All workouts, tasks, and auto-messages from today onwards will be removed for clients.

  • Active: When an autoflow is activated, it will activate all Paused and Waiting to start clients. All workouts, tasks, and auto-messages from today onwards will be synced to the clients’ calendars.

Ready to dive in? Let’s create an Autoflow in FIVE simple steps.

STEP 1: MAKE AN AUTOFLOW AND UPDATE SETTINGS

Navigate to the Autoflow tab from the left-side menu. Create an Autoflow to get started, then adjust the Autoflow Settings.

Autoflow Settings (shown above) is where you get to decide what your client experience will include. You can enable/disable any feature, from Tasks to Food journal, based on your program.

Once your settings are saved it's time to move onto customizing your Autoflow with Training and Tasks.

STEP 2: CUSTOMIZE TRAINING AND TASKS

Now we're off to the fun part: building your program! We made it simple and quick to assign Training and Tasks.

💪 Training

With Autoflow, programming for 100 clients is as easy as creating one training template. All you need to do after creation is assign to as many clients as you’d like. With features like alternate exercises and 1RM%, your templates can challenge a wide range of clients.

✅ Tasks

There is so much more to a successful training program than just workouts. That’s why we created the most flexible task coaching system. You can create...

  • Weekly check-in’s.

  • Progress checks using photos.

  • *Progress checks body metric coming soon*

  • Habit reminders: like meditating or drinking water.

  • Share blog posts, videos, and other motivations!

STEP 3: ADD ANNOUNCEMENTS

Announcements are a great way to communicate with and deliver content to your clients. You can use the feature to share an article you've written, an ad for an upcoming program, or a personal video.

Clients will see Announcements in the top spot on the Today screen, so it will always be the first thing they see when they open the app!

STEP 4: SCHEDULE IN-APP AUTO MESSAGES

While you can communicate with your clients in real-time through the Everfit messenger, you can also schedule in-app messages in advance with Autoflow. Use this feature to plan the communication necessary for your client’s fitness program. Send personalized reminders and check-ins, or share photos and videos with automated messages.

STEP 5: ADD CLIENTS & ACTIVATE

Now that your Autoflow is complete all that's left to do is to add your clients and hit Activate!

  • Add clients: There are two ways to add clients to an Autoflow. From the Autoflow Page and from the Client List.

  • Activate: (Shown above) Active your entire Autoflow in just two clicks.

  • Client management: Monitor your clients throughout the Autoflow on the Clients Tab. You can also activate, pause, or remove single or multiple clients from here.

Congrats! You've just made your first Autoflow!


ADVANCED AUTOFLOW FEATURES

1. CREATING A LEADERBOARD

​​Within an Autoflow, you can add leaderboards to encourage friendly competition and push your clients to keep improving. Whether it is a weight loss or strength building challenge, bring your clients together and share who is in the lead with accomplishing their goals!

  • Leaderboard: ​​Create a competitive leaderboard to motivate members of the Autoflow. Read more.

  • Connect a Leaderboard to a Forum: Connect Leaderboard to Forums for all of your clients or clients with similar goals.

2. COMMUNITY FORUMS

The Leaderboard feature gives you the ability to promote the community aspect of training through Forums or motivate clients competitively as they accomplish your fitness challenges. With Forums, create private groups to allow your clients or team members to share posts, images, and videos with a common goal in mind. Build a strong community all within the Everfit app!

3. ADDING MULTIPLE AUTOFLOWS TO A CLIENT

Increase your productivity by adding multiple autoflows to each client, from onboarding, training, messaging, tasks, and workout.

For example, you can create specific "Settings-Free" Autoflows for:

  • Weekly weight and body fat reminders

  • Daily motivation Announcements

  • Weekly check-in messages on Sundays

  • Sending weekly meal plans to nutrition clients

  • A meditation series

  • A stretch series

  • Regular group workouts on Zoom

These can be layered on top of the main training-specific Autoflows for each group of clients.
