Check-in Dashboard | Manage Your Client List

Manage Your Client List

Written by Emma

Reviewing Your Client List

Below the summary cards is your client list. Clients who need attention appear at the top, while clients you’ve already checked in with move lower in the list.

You can also:

  • Search for a client by name or email

  • Filter by status (At Risk, Forms to Review, Program Ending, etc.)

  • Filter by coach if your workspace has multiple coaches

  • Filter by Group if your workspace uses Client Groups

Filter by Group

If your workspace uses Client Groups, you can now filter the Check-in Dashboard to focus on a specific group of clients to manage different rosters.

In the filter row above the client list, you'll see a Group dropdown alongside the existing Coach/Owner and Status filters.

  • Click the Group dropdown to see a searchable list of all Client Groups in your workspace.

  • You can select multiple groups at once.

  • All summary cards and client data will update automatically to reflect only that group's clients.

Working with Views

The Check-in Dashboard organizes your roster using Views, shown as tabs in the tab bar. There are two kinds:

  • Pre-made Views: created by Everfit and always available: All clients, At risk, Needs attention, On track, Program ending, No activity, Form to review, Review completed, and Paused. Each shows a live client count.

  • Custom Views: created by you, saved as their own tabs, and recallable in one click.

Save a Custom View

Once you've set your Group, Coach/Owner, and Status filters the way you like, plus any column display changes - a Save view button appears at the end of the filter row.

  1. Click Save view.

  2. Give your view a name and Click Done.

The new View is added as a tab at the end of your Custom Views and becomes active right away. A saved View stores your Group, Coach/Owner, Status, and column display selections.

You can also click the "+" (Add View) button in the tab bar to build a new View from scratch by choosing Coach, Group, and Status directly.

Switch, reorder & manage Views

  • Switch: Click any tab to activate that View. Use the All Views dropdown at the right end of the tab bar to see every View (pre-made and custom) with client counts and jump to any one.

  • Reorder: Drag any tab to a new position. The order persists across your sessions.

  • Manage: Open Manage view from the All Views dropdown to rename or delete your Custom Views. Pre-made Views can't be edited or deleted. If you delete the View you're currently on, the dashboard falls back to the All clients tab.

Choose which columns to show

Each View can display its own set of table columns. Click the Data column selector at the right end of the filter row and check or uncheck columns including Status, Activity, and Last active. The Client and Actions columns are always shown and can't be hidden.

Switch weeks to check data

Want to see how your clients performed in different weeks? You can easily switch between weeks right on the dashboard.

The dashboard allows you to review up to 4 weeks of data, helping you spot trends and track progress over time.

How it works

  • A week runs from Monday to Sunday

  • When you open the dashboard:

    • On Monday or Tuesday → you’ll see Last Week by default

    • From Wednesday to Sunday → you’ll see the Current Week (live data up to today)

Switching between weeks

You can quickly navigate between weeks by clicking:

  • Today for current week

  • Or using the back/next arrows

When you switch weeks, all client signals, like training, nutrition, and habits, will automatically update based on that selected week.

When viewing a past week, a banner will display "You're viewing historical data for {period}. Current client status may differ." with a quick link back to the current week.

What to expect

  • Current Week: Data is updated up to today (future days are not included)

  • Past Weeks: Data shows the full week (Monday → Sunday)

This makes it easy to review performance, compare progress, and stay on top of your clients week by week.
