Set up multiple onboarding flows

Create multiple Onboarding Flows tailored to different onboarding needs.

Effortlessly create multiple onboarding flows for various registration and training purposes. This includes setting a default onboarding flow, integrating packages into the onboarding process, and selecting the appropriate flow when inviting a client.

How to create an Onboarding Flow

You can access the "Onboarding Flow" feature from the Automation menu tab.

Click on the "Create New Onboarding Flow" button to get started.

Next, name your onboarding flow, configure the sharing settings according to whether you want to share it with your team, and click “Create” when you're done.

After publishing the onboarding flow, go to the Settings tab to complete the setup.


How to set an Onboarding Flow as default

Each workspace can have one default Onboarding Flow, set by the Owner or Admin. Additionally, every coach can create and use their own separate default onboarding flow.

Set as workspace default

In the Settings tab of the onboarding flow, select "Use as workspace default onboarding flow" under the "Set as default Onboarding Flow" section.

A confirmation pop-up will appear; select "Yes" to confirm.

Set as a coach’s default

In the Settings tab of the onboarding flow, select "Use as my default onboarding flow" under the "Set as default Onboarding Flow" section.

Confirm the action in the pop-up by selecting "Yes."

Change default to another Onboarding Flow

  • Change workspace default

If a workspace default already exists and you wish to change it, a confirmation pop-up will appear. Confirming will disable the previous default.

  • Change a coach’s default

Similarly, if a coach decides to change their default Onboarding Flow, the previous one will be disabled upon confirmation.

Remove the default status of an Onboarding Flow

To remove a workspace or your default status for an Onboarding Flow, select the "Not using as default" option and confirm the removal.


Create invite links for coaches

  • If the Onboarding Flow is shared, you can add additional coaches to generate a shareable invite link for it.

1. Click “Add Coaches” to open the Coaches pop-up.

2. Select the coaches you wish to add and click the "Add" button.

3. Hit "Yes" to confirm your action.

4. Each added coach will receive a unique link to share with their clients. They can copy and send this link to their clients. When clients sign up through these invite links, they will gain access to all onboarding flow assets upon signing in via the mobile app.

  • If your Onboarding Flow is private or if you're a trainer viewing other Onboarding Flows, you can only generate your own invite link and cannot add other coaches.

Remove coaches from Onboarding Flow

To remove coaches you’ve added, click the three dots icon and select "Remove" to confirm your action.


Attach an Onboarding Flow to Packages

To link the onboarding flow to specific packages, follow these steps:

  1. Click the "Add Packages" button to open the Packages pop-up.

  2. Select the packages you want to add and click the "Add" button.

  3. A confirmation pop-up will appear. Click "Yes" to proceed.

  4. The selected packages will be listed, and clients who activate these packages will receive assets from the Onboarding Flow.

Unlink packages from Onboarding Flow

You can manage or remove a package from an onboarding flow through each package's Settings page.

In the Onboarding Flow's Settings tab, hover over the gear icon next to a package. Clicking on it will take you to that package's settings page.

  1. From the package's Settings, locate the Onboarding Flow section.

  2. Click the "Remove" icon to open the confirmation pop-up.

  3. Choose an alternative onboarding flow to link to the package, if desired.

View Onboarding Flows

After creating an Onboarding Flow, it will appear on the Onboarding Flow list page.

  • You will see a list of Onboarding Flows in the workspace, including those owned by you and archived ones.

  • On the Onboarding Flows tab, the Default section will be shown at the top if there are default Onboarding Flows (both workspace default and your default).

  • Only the workspace owner and admins can access the Default Onboarding Flow tab, which displays flows set as default by all coaches in the workspace.

Search and manage Onboarding Flows

You can use the search box to find Onboarding Flows by name.

To edit, duplicate, archive, or change the sharing settings of an Onboarding Flow, click the "More options" icon and choose the desired action.


Attach an Onboarding Flow while inviting clients

In the pop-up when inviting a client, there's an option to select the Onboarding Flow you want them to receive. Once the client signs up, they will be enrolled in the chosen Onboarding Flow.

Which Onboarding Flow will clients receive if they sign up through a public invite link?

If a client signs up through a public invite link, they will receive an onboarding flow based on the following priority:

  1. The client will receive the coach's default onboarding flow, if available.

  2. If the coach's default onboarding flow is not available, the client will receive the workspace's default onboarding flow.

  3. If neither the coach's nor the workspace's default onboarding flow is available, the client will not receive any onboarding flow.
