Written by Emma

A smarter way to manage your weekly client check-ins. The Check-in Dashboard gives you a quick view of how all your clients are doing in one place, so you can quickly identify who is on track and who may need your attention.

How to Access the Check-in Dashboard

  1. Log in to your Everfit account on the web app

  2. Open the left navigation menu

  3. Click Check-in Dashboard

The first time you open the dashboard, you’ll see Beta agreement and short guide explaining how client statuses are defined.

Dashboard Overview

At the top of the page, you’ll see summary cards that give you a quick snapshot of your clients for the week. These cards help you quickly decide who to check in with first.

  • At Risk: Clients whose training consistency has dropped below 60%, or whose nutrition tracking is very low.

  • Need Attention: Clients who are starting to fall off track with their training or nutrition.

  • On Track: Great news! These clients are consistently following their workouts and nutrition plan this week.

  • Forms to Review: Clients who submitted a check-in form that you haven’t reviewed yet.

  • Program Ending: Clients whose programs will end within the next 7 days.

  • Check-in Complete: The number of clients you’ve already completed check- in with this week.

  • No activity: Clients who haven’t had any activity in the last 14 days.

Reviewing Your Client List

Below the summary cards is your client list. Clients who need attention appear at the top, while clients you’ve already checked in with move lower in the list.

You can also:

  • Search for a client by name or email

  • Filter by status (At Risk, Forms to Review, Program Ending, etc.)

  • Filter by coach if your workspace has multiple coaches

Switch weeks to check data

Want to see how your clients performed in different weeks? You can easily switch between weeks right on the dashboard.

The dashboard allows you to review up to 4 weeks of data, helping you spot trends and track progress over time.

How it works

  • A week runs from Monday to Sunday

  • When you open the dashboard:

    • On Monday or Tuesday → you’ll see Last Week by default

    • From Wednesday to Sunday → you’ll see the Current Week (live data up to today)

Switching between weeks

You can quickly navigate between weeks by clicking:

  • Last Week

  • Current Week

  • Or using the back/next arrows

When you switch weeks, all client signals, like training, nutrition, and habits, will automatically update based on that selected week.

What to expect

  • Current Week: Data is updated up to today (future days are not included)

  • Past Weeks: Data shows the full week (Monday → Sunday)

This makes it easy to review performance, compare progress, and stay on top of your clients week by week.

Viewing Client Insights

Click on any client to open their insight panel, where you can review:

Training Overview

The training status is based on workout adherence.

Here you can view:

  • Weekly workout completion

  • Adherence percentage with a 4-week trend

  • Progress in their current training program

You can also access detailed workout history or program information if needed.

Nutrition Overview

Nutrition status is based on how often clients log meals and how closely their macros align with their targets.

You’ll be able to review:

  • Average macros compared to goals

  • Number of days with food logs

  • Daily meal entries

You can also open detailed food logs for deeper insights.

Tasks & Habits

Track your client’s progress on assigned tasks and habits. Status is determined as follows:

This section includes:

  • Tasks completed vs. assigned

  • Habit tracking progress

  • Missed or overdue items

This helps you quickly spot where clients may need encouragement or accountability. You can also click on any task or habit to view more details.

Forms

You can quickly see whether your client has submitted their check-in form or missed it. If a form has been submitted, you can:

  • View the full response

  • Compare it with previous submissions

  • Mark the form as reviewed

This helps ensure no client feedback is missed.

Programs Ending

Clients with programs ending soon are highlighted, allowing you to review their progress and prepare the next phase of training.

Private Notes for Clients

You can add a private note for any client by clicking the note icon in their row. These notes are only visible to you and not to the client.

Sending a message to the client

After reviewing a client, you can quickly send them a message directly from the dashboard.

  1. Click the message icon on the client’s row

  2. Type your message

  3. Click Send

Your message will be delivered straight to the client’s inbox, so you can stay connected without leaving the dashboard.

Marking a Check-in as Complete

Once you’ve reviewed a client and finished their check-in, click the checkmark icon to mark them as checked in. Your Check-in Complete counter will then update automatically.
