A Group Session lets you book multiple clients into the same time slot, making it ideal for small-group HIIT sessions, partner training, and other semi-private sessions.
Group Sessions work alongside your existing 1:1 booking flow, with their own capacity, roster, occupancy, and cancellation settings.
What is a Group Session?
A Group Session includes:
Group Session Type: A reusable session template with a Maximum spots capacity.
Group Session: A scheduled occurrence of a Group Session Type with a roster of your clients.
Occupancy: The number of enrolled clients compared with the session capacity, shown as enrolled/max.
Example: You run a "Small Group HIIT" session with a maximum of 10 spots. You can book five clients into Saturday's session, and Everfit will show 5/10 as you add them.
1. Create a Group Session Type
Creating a Group Session Type follows the same process as creating a regular Session Type, with an additional Format option.
Once a Session Type is created as a Group session, its format cannot be changed to a 1:1 session later, and vice versa.
To create a Group Session Type
Go to Booking → Session Types → + Add New Session Type.
Under Format, select Group session.
Enter a Name and click Create.
You will automatically be assigned as the trainer.
On the Session Type details page, set the Maximum spots.
Configure the remaining settings, including:
Duration
Location
Description
Session credit requirements
Cancellation settings
Click Save.
2. Book a Group Session
Booking a Group Session is similar to booking a 1:1 session. Simply switch to Group mode and add multiple clients to the session.
To book a Group Session
Go to Booking → Calendar.
Click Add → Add group session.
Alternatively, click + Book Session and switch the mode selector to Group.
Select a Session Type.
In the Clients field, select:
Individual clients, or
A saved Group of clients.
Set the start date and time.
Optionally add a client-facing note or internal note.
Click Book Session.
3. View Your Group Sessions on the Calendar
Group Session tiles appear on your calendar just like 1:1 sessions, with an enrollment count showing how full the session is.
In Day and Week views, you'll see:
Session name
Time range
Enrollment count, such as 5/10 enrolled
In Month view, the session displays the start time and session name.
Check a session's roster
Click the Group Session on your calendar.
Open the session popover.
Scroll to the Enrolled / Canceled tabs.
Review the clients in each tab.
Click a client's name to open their Profile.
Hover over an enrolled client to see the Cancel option.
4. Edit a Group Session
You can edit a Group Session whether it is Scheduled or Completed.
To edit a session
Open the Group Session from the Calendar.
Click Edit.
Update the session details, start time, or notes as needed.
To remove a client, hover over their row in the Enrolled list and click Cancel.
To add a client, search for their name and select them.
Click Update.
5. Cancel a Client's Spot
Canceling one client's spot only affects that client. The rest of the group remains scheduled.
To cancel one client's booking
Open the Group Session.
Hover over the client's row and click Cancel.
Select:
Early cancel: Returns the client's session credit.
Late cancel: The session credit remains spent.
Optionally add an internal note.
Click Cancel booking.
The client will move to the Canceled tab and be labeled EARLY CANCEL or LATE CANCEL. The enrollment counts update automatically.
Undo a cancellation
From the session popover, click Undo cancel on the canceled client's row.
Undo Late Cancel: The client's already-spent credit remains spent.
Undo Early Cancel: A session credit is consumed again from the client's balance.
If the client doesn't have an available credit, you'll be prompted to issue one before restoring them.
If restoring the client would exceed the session capacity, you'll be asked to confirm the overbooking.
6. Cancel the Whole Session
You can cancel the entire Group Session as a single action.
To cancel the whole session
Open the Group Session.
Click Cancel session.
Choose Early cancel or Late cancel.
The selected cancellation type applies to all currently active attendees.
Optionally add an internal note.
Click Cancel Session.
Canceling the entire session does not reprocess clients who were already individually canceled. Their original cancellation and refund status remains unchanged.
7. Client Self-Cancellation
If Allow client self-cancellation is enabled for the Group Session Type, clients can cancel their own spot directly from the Client App.
When a client cancels their spot:
Only their booking is canceled.
The Group Session remains active for everyone else.
The cancellation is always treated as an Early Cancel.
Their session credit is refunded if the Session Type requires one.
Client self-booking
Clients cannot currently book themselves into Group Sessions. Client self-booking is planned for a future phase.
For now, clients must be added to the session by you or an Owner/Admin.
8. Google Calendar Sync
If you've connected Google Calendar, Group Sessions sync to your Everfit sub-calendar similarly to 1:1 sessions.
The Google Calendar event includes:
The Group Session name
Occupancy count, such as Small Group HIIT (2 of 10 spots)
The full client roster in the event description
Clients are not added as Google guests to the main trainer event. Instead, each client receives their own separate calendar invitation. This means clients cannot see the other attendees on the Group Session.
When you update the Group Session:
Editing the session updates the related calendar events.
Canceling the session removes the related events.
Adding or canceling an individual client only affects that client's invitation and the session's occupancy.
