Manage your schedule directly from your phone. You can view upcoming sessions, book 1:1 and group sessions, edit or cancel bookings, manage group rosters, and check your clients' session credits.
Accessing Sessions
Sessions appears directly in the bottom menu bar of the Coach Mobile App, alongside your other main tabs
Your sessions are displayed in chronological order. The schedule automatically opens to Today and displays any days that contain a visible session or calendar event.
All session times are shown according to your phone’s timezone.
Navigate your schedule
Scroll up and down to view past and upcoming sessions.
Tap the calendar icon in the top-right to return to Today.
Tap the month label to open the month calendar and select a specific date.
The month calendar includes dates from the day your workspace was created through one year from today. A dot indicates a date with an Everfit session, a canceled session, or a visible Google Calendar event.
View session details
Tap a session to open its details. For a 1:1 session, you can view: status, session type or custom session name, client, date and time, duration, location, notes and session-credit information.
For a group session, you can view:
Clients: enrolled and canceled clients
Details: location, description, note to client, and internal note
If a video-call session has a saved meeting link, open the session and tap the corresponding provider button to join the video call, either with Google Meet, Zoom or Microsoft Teams.
View canceled sessions and Google Calendar events
You can choose whether to display canceled sessions and connected Google Calendar events in your Sessions list.
Open Sessions.
Tap the view settings button.
Turn on or off:
Early cancel
Late cancel
Connected Google Calendars
If you have connected Google Calendar through Coach Web, your synced calendar events appear alongside your Everfit sessions.
Book a session
You can book either a 1:1 session or a group session directly from the mobile app.
From the Sessions list, tap + or Book session.
Select 1:1 session or Group session.
Select the client and Session Type.
For group sessions, add one or more clients or saved client groups to the roster.
Review the session details. Tap Edit details if you want to change the duration, location, or description for this booking.
Select the Start date and Start time.
Add a Note to client or Internal note, if needed.
Review the booking details and tap Book.
Note: Changes made through Edit details apply only to this booking. They do not change the saved Session Type.
Create a custom session
You can also create a one-off custom session. At the Select Session Type step, tap Create a custom session.
Custom sessions are not connected to a saved Session Type and do not use a session credit.
Session credits when booking
If a Session Type requires a session credit, each client must have an available credit before you can book the session.
For group sessions, every client on the roster must have an available session credit.
The Book button remains disabled until all required clients have a credit. When you book the session, one session credit is used for each client.
Session credits can only be issued from the web app.
Book a session from a client's profile
You can start a booking directly from a client's profile.
From the client's profile
Tap + or Book session.
The client is automatically added to the booking.
Select the session format and continue.
From the client's session credits
Open the client's session-credit list.
Select a Session Type.
Tap Book session.
Edit a session
Edit a 1:1 session
Open the session. Tap Edit.
Update the session details, date, time, or notes. Tap Apply.
You cannot change the client or remove the Session Type from an existing 1:1 session.
Edit a group session
Open the group session. Tap the Edit (pencil) icon.
From the Enrolled or Canceled tabs, make your changes.
You can:
Change the date or time.
Update session details or notes.
Add clients to the roster.
Cancel an individual client's booking.
Cancel the entire group session.
Tap Apply to save your changes.
Cancel a session
Canceling a session does not delete it. Instead, the session remains in your schedule with a cancellation status.
When canceling a session, choose either Early cancel or Late cancel.
Cancel a 1:1 session
Open the session. Tap Cancel.
Select Early cancel or Late cancel. Optionally enter a private reason.
Tap Cancel session.
Cancel one client from a group session
Open the group session. From the Enrolled list, tap Cancel next to the client.
Select Early cancel or Late cancel. Optionally add an internal note.
Early cancel: The client's session credit is returned.
Late cancel: The client's session credit is not returned.
Tap Cancel booking.
Cancel the entire group session
Open the group session's Edit screen.
Tap Cancel group session.
Select Early cancel or Late cancel. Optionally add an internal note.
Tap Cancel session.
All active clients are canceled at once.
Clients canceled early receive their session credit back.
Clients canceled late do not receive their session credit back.
Canceling the last enrolled client
If you cancel the last enrolled client in a group session, you'll see an Also cancel the entire session checkbox. This option is turned off by default.
Undo a cancellation
You can restore a canceled client from the Canceled tab.
Open the client's row menu.
Tap Undo cancel.
What happens to the session credit depends on the original cancellation:
Undoing a Late Cancel: The previously voided credit is reused. No new credit is required.
Undoing an Early Cancel: The client's returned credit is used again. If the client no longer has an available credit, you cannot undo the cancellation.
Add or edit a cancellation note for a group session
Cancellation notes for group sessions are associated with the individual canceled client.
From the Canceled tab, open the client's row to add or edit the cancellation note.
These notes are internal and are not shown to the client.
Check a client's upcoming sessions and session credits
You can view a client's upcoming sessions and session-credit balance from their profile.
Open the client's profile.
Tap Upcoming to view all upcoming sessions.
Tap the session-credit balance to view the client's available balances.
Select a Session Type and tap Book session to start a new booking.
The mobile app displays session-credit information, but issuing or deleting session credits must be done from Coach Web.
Booking notifications
Booking-related notifications appear with your other notifications. You may receive a notification when:
A client self-books a session with you.
A client self-cancels a session with you.
An Owner or Admin reassigns a session to you.
