How to create recurring 1:1 sessions

How to create and manage recurring sessions

Repeating sessions make it easy to schedule recurring 1:1 sessions with your clients without booking each session individually. Set up a schedule once, and Everfit will create the sessions for you. You can then manage individual sessions, update the schedule, and track session credits as needed.

How to create a recurring 1:1 session

Repeating is an option inside the normal booking flow, so you book it the same way as any other session.

  1. Open Book Session from the Book Session button on the Calendar, by clicking an empty calendar slot, or from a client’s profile.

  2. Fill in the session details as usual: client, trainer (Owners and Admins only), session type, start date and start time.

  3. Below the date and time, click Repeat session.

  4. Set your schedule in the Repeat Session window, then click Save.

    image-20261014-104549.png
  5. Click Book Sessions. Everfit creates every session in the series and takes you to the week of the first session.

Configure the repeating schedule

The Repeat Session window has three settings:

  • Repeat: choose how often the session repeats: Daily, Weekly (default), or Every 2, 3, 4, 5 or 6 weeks.

  • On: for weekly schedules, pick the days of the week.

image-20261014-104706.png
  • Ends: every repeating schedule needs an end point.

How to turn a one-off session into a recurring session

You don’t need to cancel and rebook a session to make it repeat.

  1. Click the session on your calendar, then click the pencil icon to open Edit Session.

  2. Click Repeat session and set your schedule.

  3. Click Save, then Update.

The original session becomes the first session in the series. Any session credit already assigned to it stays in place.

Note: The Repeat session option only appears on scheduled one-off sessions. It isn’t available for sessions that are already part of a series, or for sessions that are Completed or Canceled.

How to view a series

Each session in a series appears as its own tile on the calendar. To see the full series, click any session in it. The popover shows a line such as “Every Sat, from Jan 17 to Feb 7”. Click that line to open the Repeating Schedule window.

image-20261014-105015.png

The Repeating Schedule window shows:

  • The client, session type, total number of sessions, frequency and date range

  • Every session in the series with its status (Scheduled, Completed, Early Canceled or Late Canceled)

  • A banner and a Missing credit tag on any sessions that don’t have a session credit yet, with an Add credits link

  • Options to edit (pencil icon) or remove (trash icon) the recurring schedule

Sessions that need a credit

Sessions missing a credit shows a warning at the bottom of the scheduled session:

  • 72 hours before the session: you and your client both receive a reminder regarding missing credits.

  • 1 hour before the session:

    • If a credit is now available, it’s applied automatically and the session goes ahead.

    • If not, the session is automatically canceled as an Early Cancel (nothing is forfeited), and you and your client are notified.

How to edit sessions in a series

  1. Click the session, then click the pencil icon to open Edit Session.

  2. Make your changes, such as start time, duration, location, description or notes.

  3. Click Update.

  4. In the Apply Changes window, choose where the change should apply, then click Apply:

    • This session only (default): changes just this session.

    • This and following sessions: changes this session and all scheduled sessions after it.

    • Specific sessions: lets you select which upcoming sessions to change.

Rescheduling a single session

Changing a session’s start date only affects that one session. If the new date conflicts with something else, Everfit will warn you, but you can still save the change.

Assigning sessions to a different trainer (Owners and Admins)

If you change the Trainer and select This and following sessions, the selected session and all following sessions in the series will be assigned to the new trainer.

How to change or end a recurring schedule

To change the whole schedule, click the pencil icon on the Repeating schedule card or in the Repeating Schedule window.

Extend or shorten a series

In Edit Repeating Schedule, change the Ends setting:

  • Extend: increase the number of sessions or choose a later end date.

  • Shorten: reduce the number of sessions or choose an earlier end date. Before you save, Everfit shows how many sessions will be removed and how many session credits will be returned to the client.

Remove a recurring schedule

  1. Click the trash icon on the Repeating schedule card or in the Repeating Schedule window.

  2. Choose when the schedule should end:

    • Starting with this session (default): removes this session and all scheduled sessions after it.

    • After this session: keeps this session and removes the scheduled sessions after it. You can change the cut-off date.

  3. Review the summary of sessions to be removed and credits to be returned, then confirm.

Completed and canceled sessions are never removed.

Session credits in a recurring series

You can book a full series even if your client hasn’t purchased credits for every session yet.

When you book, Everfit assigns the client’s available session credits to sessions in date order, starting with the earliest. Any remaining sessions are booked without a credit until more are added.

Adding credits

Click Add credits from the booking form, the session popover, Edit Session, or the Repeating Schedule window. New credits are applied automatically to the next upcoming sessions that need one.

If you issue credits from a client’s Credits tab instead, you’ll be asked to confirm before they’re applied.

Repeating sessions on the Coach mobile app

On the session details screen, tap the repeating line (for example, “Every Sat, from Jan 17 to Feb 7”) to see every session in the series and its status. Each session also shows its credit status, with a reminder if it needs a credit and will be canceled one hour before it starts.

From the app, you can edit or cancel a single session. These changes only apply to that one session.

To create a series, change its schedule, or issue session credits, use the Everfit web app.

What your client sees

Repeating sessions are managed by coaches only.

  • Booking: when clients book their own sessions, they can only book one session at a time.

  • Viewing sessions: each session in a series appears individually in the client’s app, with no repeating label.

  • Canceling: clients can cancel a single session (if you allow self-cancellation and it’s before the cutoff), but not the whole series.

  • Session credits: if a session needs a credit, the client sees a warning asking them to contact you.

  • Notifications: clients are notified by email and in-app when sessions are booked, changed, rescheduled or canceled. They also get a push notification 72 hours before a session that needs a credit, and a message if a session is automatically canceled.
