Trainers: Manage Your Bookings (Beta)

Learn how to create session types, manage client bookings, connect your calendar, and schedule sessions as a trainer.

As a Trainer, you manage your own clients and bookings within your workspace.

You'll only see the clients, Session Types, and bookings assigned to you, allowing you to manage your own schedule while Workspace Owners and Admins oversee the entire team.

This guide explains how to:

  • Create and manage your own Session Types.

  • Let clients book sessions with you.

  • Schedule and manage appointments.

  • Connect your Google Calendar.

  • Manage Session Credits for your clients.

What You Can Do

As a Trainer, you can:

Session Types

  • Create your own Session Types.

  • Edit or archive Session Types you created.

  • Use Session Types assigned to you by an Owner or Admin.

Client Self-Booking

  • Grant or remove self-booking access for your clients.

  • Allow eligible clients to book sessions with you.

Booking Management

  • Book, edit, and cancel your own sessions.

Calendar

  • Connect your Google Calendar.

  • Share your event visibility with your workspace (optional).

Session Credits

  • Issue and remove Session Credits for your clients.


Manage Session Types

Session Types define the services you offer to clients.

As a Trainer, you'll see:

  • Session Types you created.

  • Session Types assigned to you by a Workspace Owner or Admin.

For each Session Type, you can view:

  • Name

  • Duration

  • Location

  • Session Credit requirements

  • Owner of the Session Type


Create a Session Type

To create a Session Type:

  1. Navigate to Bookings > Session Types.

  2. Click Add New Session Type.

  3. Complete the required information:

    • Session name

    • Color

    • Duration

    • Location

    • Description

    • Booking settings

  4. Save your changes.

You can edit or archive Session Types that you create.


Session Types Assigned by an Owner or Admin

Owners and Admins can assign Session Types for you to use.

Assigned Session Types can be used to:

  • Book sessions.

  • Grant clients self-booking access.

However, you cannot modify their settings or configuration. Only the Session Type creator or a Workspace Owner/Admin can make those changes.


Let Clients Book With You

Client self-booking allows clients to schedule appointments without needing to contact you directly.

To make a Session Type available for client self-booking, three conditions must be met:

  • The Session Type allows client self-booking.

  • You're assigned to the Session Type.

  • The client has been granted self-booking access.

If the Session Type requires Session Credits, the client must also have an available credit before booking.


Grant Self-booking Access

You can grant booking access from either:

  • The Session Type's Self-booking Clients tab.

  • A client's profile.

You can grant access to:

  • Individual clients.

  • Client Groups.

  • All of your connected clients.

You can only grant access for:

  • Clients you coach.

  • Session Types assigned to you.

  • Session Types you manage.


Remove Booking Access

Booking access can be removed at any time.

Removing access:

  • Prevents future self-bookings.

  • Does not cancel existing appointments.

  • Does not remove Session Credits.

You can remove access for a client or multiple clients at once.


Enable Client Self-Booking

Whether clients can self-book depends on the Session Type.

  • If you created the Session Type, you can enable or disable Allow Client Self-Booking yourself.

  • If the Session Type was assigned to you by an Owner or Admin, this setting is managed by them.


How Clients See Available Time Slots

The appointment times your clients can choose depend on several settings.

Available time slots are determined by:

  • Workspace booking hours.

  • Booking notice and advance booking limits.

  • Session duration, buffer times, and booking intervals.

  • Your existing Everfit sessions.

  • Connected Google Calendar events.

Workspace booking hours and booking windows are managed by the Workspace Owner or Admin.

If clients cannot find an available time, contact your Workspace Owner or Admin to review these settings.


Book and Manage Sessions

Book a Session

To schedule an appointment:

  1. Open the Calendar.

  2. Click Book Session.

  3. Select one of your clients.

  4. Choose one of your assigned Session Types (or create a custom session).

  5. Select the date and time.

  6. Save the booking.

Your client will automatically receive booking notifications.


Edit or Cancel Sessions

You can edit or cancel any session where you're the assigned trainer.

You can update:

  • Date and time

  • Duration

  • Location

  • Description

You cannot change:

  • The assigned client

  • The assigned trainer

Clients are notified whenever a session is rescheduled or canceled.


Connect Your Google Calendar

Connecting Google Calendar helps Everfit keep your schedule up to date.

Once connected, Everfit can:

  • Detect scheduling conflicts.

  • Prevent double-booking.

  • Add booked sessions to your Google Calendar.

  • Send calendar invitations to clients.

Google Calendar events help determine your availability for client bookings. Changes made directly in Google Calendar do not update existing Everfit sessions.


Share Your Availability

You can choose whether Workspace Owners and Admins can view your availability.

When Share Calendar is enabled:

  • Owners and Admins can see when you're busy.

  • Only busy/free status is shared.

  • Event names, attendees, and details remain private.

  • Detect booking confliction when owners and admins book a session for you.

You can change this setting at any time.


View Your Calendar

Your calendar only displays your own schedule. You can:

  • View appointments by Day, Week, or Month.

  • Filter by your clients.

  • View connected Google Calendar events alongside your Everfit sessions.

Unlike Workspace Owners and Admins, Trainers cannot view other trainers' calendars.


Manage Session Credits

You can issue or remove Session Credits for:

  • Clients you coach.

  • Session Types assigned to you.

  • Session Types you manage.

If you issue a Session Credit for a Session Type that allows self-booking, Everfit automatically grants the client access to book that Session Type if they don't already have it.


Troubleshooting

Issue

Possible Cause

Resolution

My client can't book with me

Self-booking is disabled, the client hasn't been granted access, you're not assigned to the Session Type, or Session Credits are required

Enable self-booking (if applicable), grant booking access, ask an Owner/Admin to assign you to the Session Type, or issue Session Credits.

I can't edit a Session Type

The Session Type was created by someone else

Contact the Session Type owner or a Workspace Owner/Admin to make changes.

I can't manage Session Credits

You're not assigned to the Session Type

Ask a Workspace Owner/Admin to assign you to the Session Type first.

Clients can book over my existing commitments

Google Calendar isn't connected

Connect your Google Calendar so external events block unavailable time slots.

My Workspace Owner can't see my availability

Calendar sharing is turned off

Enable Share Calendar if you'd like your availability to be visible to your workspace.
