Availability lets you control when your clients can book sessions with you. You can use your workspace's default hours or create your own schedules for different services and availability patterns.
For example, you may generally be available Monday–Friday from 9 AM–5 PM but only want to offer Recovery Sessions on Saturday mornings. You can create a separate Saturday schedule and assign it to that session type without changing your regular availability.
1. Workspace Hours
What are Workspace Hours?
Workspace Hours are the default hours set by your Owner or Admin for the entire workspace.
You can view Workspace Hours from Booking → Availability, but you can't edit them.
If you want to set different hours for yourself, you can create your own schedule instead.
Note: Workspace Hours only apply to your session types when they are being used as their availability schedule.
2. Create Your Own Schedule
What is a Schedule?
A Schedule is a set of weekly hours that you create and manage yourself. You can create multiple schedules and use them across different session types.
For example, you could create:
Weekday Availability: Monday–Friday, 9 AM–5 PM
Morning Sessions: Monday–Friday, 6 AM–9 AM
Weekend Availability: Saturday, 10 AM–2 PM
To create a schedule
Go to Booking → Availability.
Click + Add new schedule.
Enter a name for your schedule.
New schedules start with Monday–Friday, 9 AM–5 PM by default. Edit the weekly hours to match your availability.
Click Save.
Edit, duplicate, or remove a schedule
You can edit, duplicate, or remove schedules that you created.
Duplicate a schedule
Duplicating a schedule copies its:
Weekly hours
Date overrides
The duplicated schedule does not copy its session type assignments and does not become the default schedule.
Remove a schedule
If a schedule is currently being used by one or more session types, Everfit will show you how many session types depend on it before you remove it.
Important: Removing a schedule also removes its availability from any session types using it. If it was the only schedule assigned, that session type will have no bookable hours for that coach.
Set a default schedule
You can designate one of your schedules as your default schedule.
Your default schedule is automatically used for Session Types you're assigned to when no other schedule has been specifically assigned to that service.
3. Manage Session Types on a Schedule
You can manage which Session Types use a schedule directly from the schedule itself. This is useful when you want to apply the same schedule to multiple services at once.
To manage Session Types on a schedule
Open the schedule.
Find the Session Types section.
Click Manage.
Select or deselect the Session Types you want to use with the schedule.
Click Save.
Note: Adding a Session Type to a schedule does not remove any other schedules already assigned to that Session Type.
4. Add Date Overrides
Date Overrides let you make temporary changes to a schedule for specific dates without changing your regular weekly hours.
For example, if you're only available from 9 AM–12 PM on December 24, you can create an override for that date without changing your regular schedule.
You can also mark a specific date as completely unavailable.
To add a Date Override
Open the schedule you want to update.
Go to the Date Overrides section. Click + Add.
Select one or more dates.
Either:
Set custom hours for those dates, or
Select Mark unavailable (All day).
Click Save.
How Date Overrides work
A Date Override completely replaces the weekly hours for that date within the schedule where the override was created.
For example, if your schedule normally has availability from 9 AM–5 PM on Mondays and you add an override for one Monday from 10 AM–1 PM, clients will only be able to book you from 10 AM–1 PM through that schedule.
Note: Date Overrides only apply to the schedule where you created them. If you have multiple schedules and want to block the same date across all of them, you'll need to add an override to each schedule.
Date Overrides only affect future availability. They don't cancel or change sessions that have already been booked.
5. Assign Schedules to Session Types
Each Session Type you're assigned to has its own Availability tab.
By default, a Session Type follows your default schedule. If you haven't created a default schedule, it can use Workspace Hours.
To set dedicated hours for a Session Type
Open the Session Type.
Go to the Availability tab.
Add or remove your schedules using the schedule dropdown.
Click Save.
You can assign multiple schedules to the same Session Type. When you do, Everfit combines the available hours from all assigned schedules.
For example, if you assign:
Weekday Schedule: Monday–Friday, 9 AM–5 PM
Weekend Schedule: Saturday, 9 AM–5 PM
Your clients can book that Session Type from Monday to Saturday, 9 AM-5 PM.
6. What Your Clients See
Availability determines which times your clients can select when booking a session with you.
The Client App only shows times that meet all of the following conditions:
The time falls within your effective availability.
The time isn't already booked.
The time isn't blocked by a Google Calendar conflict, if you've connected your Google Calendar.
If no schedule is assigned
If client self-booking is enabled but no schedule is assigned to the Session Type, clients won't see any bookable times for that service.
To fix this, assign an appropriate schedule to the Session Type.
If you add a Date Override
The updated availability will be reflected in the times clients can book for that date.
Existing bookings aren't affected.
