Availability lets you control when coaches can be booked for sessions. Instead of using one fixed booking window for everyone, you can set different hours for individual coaches and specific session types.
Availability is managed through three layers:
Workspace Hours: The default availability for your entire workspace.
Schedules: Custom weekly availability that can be created and reused.
Session Type Availability: The schedules assigned to a specific session type and coach.
For example, if your studio is open Monday–Friday from 9 AM–5 PM, you can use those hours as your Workspace Hours. If one coach offers early-morning sessions from 6–8 AM, you can create a separate schedule for those hours and assign it to their specific session type.
1. Workspace Hours
What are Workspace Hours?
Workspace Hours are the default availability for your workspace. They are automatically created based on your workspace timezone and apply to all coaches and session types unless more specific availability has been configured.
Owners and Admins can edit Workspace Hours. Trainers can view them but cannot edit them.
To view or edit Workspace Hours
Go to Booking → Availability.
Select the Workspace Hours card.
Edit the schedule name, weekly hours, or date overrides.
Click Save.
What happens when you change Workspace Hours?
Changes to Workspace Hours apply immediately across the workspace for any trainers and session types that are still using them. Clients will also see the updated bookable times in the Client App.
Tip: If you only want to change availability for one coach or one session type, create a Schedule instead of changing Workspace Hours.
2. Creating a Schedule
What is a Schedule?
A Schedule is a custom set of weekly hours that can be created for a specific availability pattern.
For example, you could create:
Morning Availability: Monday–Friday, 6 AM–12 PM
Weekend Availability: Saturday–Sunday, 10 AM–2 PM
Evening Sessions: Monday–Thursday, 5 PM–8 PM
To create a Schedule
Go to Booking → Availability.
Click + Add new schedule.
Enter a name for the schedule.
Click Create.
New schedules start with a default schedule of Monday–Friday, 9 AM–5 PM. Edit the weekly hours as needed.
Managing schedules
You can edit, duplicate, or remove schedules that you created yourself.
For schedules created by another coach, you can view them but cannot edit them directly.
Duplicate a schedule
Duplicating a schedule copies its:
Weekly hours
Date overrides
The duplicated schedule does not copy its session type assignments and does not become the default schedule.
Remove a schedule
You cannot remove Workspace Hours or a schedule created by another user.
If a schedule is currently being used by one or more session types, Everfit will show you how many session types depend on it before you remove it.
Important: Removing a schedule also removes its availability from any session types using it. If it was the only schedule assigned, that session type will have no bookable hours for that coach.
3. Session Type Availability
What is Session Type Availability?
Each session type has its own Availability tab. By default, a session type follows the coach's default schedule or Workspace Hours if the coach hasn't created a specific schedule.
You only need to configure this setting when a particular session type needs different hours from the coach's general availability.
For example, a coach may generally be available from 9 AM–5 PM but only offer Nutrition Consultations on Tuesday mornings. You can create a Tuesday morning schedule and assign it specifically to the Nutrition Consultation session type.
To set availability for a session type
Open the Session Type.
Go to the Availability tab.
Use the trainer filter to select the trainer whose availability you want to manage.
Select the schedule(s) you want to assign.
Click Save.
You can assign more than one schedule. When multiple schedules are assigned, Everfit combines the available hours.
What happens if no schedule is assigned?
If no schedule is assigned to a session type for a particular coach and client self-booking is enabled, clients won't see any available times to book for that session type.
4. Viewing the Availability Calendar
The Availability Calendar gives you a visual overview of your coaches' bookable hours.
To view a coach's availability
Go to Booking → Availability.
Use the Trainer filter to select a trainer.
Review their schedules on the calendar or in the schedules panel.
The calendar displays:
The selected trainer's schedules
Workspace Hours
The weekly availability for each schedule
Which session types are using each schedule
You can also hide or show individual schedules on the calendar.
5. Managing a Trainer's Availability
Owners and Admins can view a trainer's schedules but cannot directly edit a schedule created by that trainer. However, you can manage which schedules are used for a trainer's session types.
To manage a trainer's bookable hours
Open the relevant Session Type.
Go to the Availability tab.
Select the trainer using the trainer filter.
Add or remove the schedules assigned to that session type.
Click Save.
For example, if a trainer created a schedule but forgot to assign it to one of their session types, you can open that session type's Availability tab and assign the appropriate schedule on their behalf.
Booking outside a coach's availability
Owners and admins can still manually book a session on a coach's behalf, even if the selected time falls outside the coach's configured availability.
Availability controls bookable time slots for self-booking; it does not prevent you from manually scheduling a session.
