With Everfit Booking, you can choose whether clients are allowed to cancel their own sessions directly from the Client App. You can also define how far in advance a cancellation must be made.

How It Works
The Allow Client Cancellation setting is configured individually for each Session Type.
When enabled, clients can cancel their upcoming sessions from the Client App, as long as the cancellation is made before the cutoff period you specify.
For example, you can allow cancellations up to:
1 hour before a session starts
24 hours before a session starts
2 days before a session starts
If the cancellation window has passed, clients will no longer see the option to cancel and will need to contact you directly.
Enable Client Cancellation
For a New Session Type
Navigate to Booking Settings.
Create a new Session Type.
In the Settings section, enable Allow client cancellation.
Configure the cancellation window.
Example: Up to 24 hours before the session starts.
Click Create.
All future sessions booked under this Session Type will follow the cancellation rules you configured.
For an Existing Session Type
Navigate to Booking Settings.
Open the Session Type you would like to edit.
Enable or disable Allow client cancellation.
Update the cancellation window if needed.
Save your changes.
Important
Changes take effect immediately for all scheduled sessions associated with that Session Type.
Turning the setting off immediately removes the client's ability to cancel existing upcoming sessions.
Turning the setting on immediately allows cancellation for existing upcoming sessions, provided they are still within the configured cancellation window.
What Clients See
When cancellation is enabled and the session is still within the allowed cancellation period:
Clients can open the session details in the Client App.
A cancellation option will be available.
Once cancelled, the session is removed from their upcoming schedule.
If the cancellation deadline has passed, the cancellation option will no longer appear.
Google Calendar Integration
If you have connected Google Calendar, Everfit automatically includes cancellation guidance within the calendar event description.
Depending on your cancellation settings, clients will either see:
Instructions to cancel through the Everfit app, or
Instructions to contact you directly for assistance.
What Happens When a Client Cancels?
When a client cancels a session, Everfit automatically notifies you through multiple channels:
Mobile Push Notification
If you have the Coach App installed and notifications enabled, you'll receive an immediate push notification.
In-App Notifications
You'll see a notification inside Everfit informing you that the session was cancelled.
Email Notification
An email notification will be sent to your registered email address with details about the cancelled session.
Booking Calendar Updates
The cancelled session remains visible in your Booking Calendar and is marked as Early Canceled, allowing you to keep a record of the cancellation.
Frequently Asked Questions
Can clients cancel sessions after the cutoff period?
No. Once the cancellation deadline has passed, clients can no longer cancel through the app.
Does the cancellation rule apply to existing bookings?
Yes. Changes to a Session Type's cancellation settings apply immediately to all upcoming sessions associated with that Session Type.
Are existing Session Types enabled automatically?
No. To preserve existing behavior, all Session Types created before this feature was released have client cancellation disabled by default.
Can I have different cancellation policies for different session types?
Yes. Each Session Type can have its own client cancellation setting and cancellation window.
