Allow coaches to schedule, manage, and track 1-on-1 training sessions with clients directly inside Everfit.
Notes:
The Everfit Booking feature is currently in Beta and available to selected workspaces. Some functionality may change as the feature evolves.
Currently available on the Coach Web platform only and for single trainer businesses only during the beta phase.
Access the Booking Calendar
You can access the Booking feature from the Coach Web platform.
The Booking section will allow you to:
Manage Session Types
View and manage your Everfit Calendar
Book and manage client sessions
Create and Manage Session Types
Session Types allow you to create reusable templates for your sessions, making booking faster and more consistent.
For example:
Personal Training (60 min)
Check-in Call (30 min)
Online Coaching Session
Create a Session Type
To create a new session type:
Go to Session Types
Click Create Session Type
Enter the session details
Click Save
Once created, the session type can be selected when booking sessions.
All sessions booked for a session type will show on the calendar in the color you select for the session type.
Archive a Session Type
If a session type is no longer needed, you can archive it. Archived session types:
Will not appear when booking new sessions
Will not affect sessions already scheduled
To archive a session type:
Open the session type
Click Archive
Confirm the action
You can restore archived session types at any time.
Use the Everfit Calendar
The Everfit Calendar is where you manage all scheduled sessions.
Calendar Views
You can switch between three views: Day View, Week View, or Month View.
Navigate the Calendar
You can:
Use Previous / Next arrows to move between dates
Click Today to return to the current date
Switch between Day / Week / Month views
View Scheduled Sessions
Sessions appear as blocks on the calendar, allowing you to quickly see your schedule and identify available time slots.
Filter Sessions by Client
To focus on a specific client:
Open the Everfit Calendar
Use the Client Filter
Select a client
The calendar will display only sessions related to that client.
Show or Hide Canceled Sessions
You can choose whether canceled sessions appear on your calendar.
Enabled: canceled sessions remain visible
Disabled: canceled sessions are hidden
This helps keep your calendar clean while still allowing access to past sessions if needed.
Book a Session
You can schedule sessions directly from the calendar.
Book a Session
To schedule a new session:
Open the Everfit Calendar
Double-click a time slot or select Book a Session
Choose the client
Select a session type (optional)
Confirm session details:
Click Book Session
The session will immediately appear on the calendar.
Customize Session Details
When using a session type, you can still modify certain details when booking. These changes apply only to the current session and will not change the original session type.
Edit or Cancel Sessions
Sessions can be edited or canceled directly from the calendar. Once done, the calendar will automatically update to reflect the new schedule.
Two cancellation types are supported:
Early Cancel: Use this option for a cancellation that is within the cancellation window of your cancellation policy. The client will be notified of the cancellation.
Late Cancel: Use this option for a cancellation that is outside of the cancellation window of your cancellation policy, like a last minute cancellation or no show. Recording a session as a Late Cancel will help you track which sessions your client has forfeited or received any other form of cancellation penalty.
Canceled sessions can still appear on the calendar depending on your display settings.
Automatic Session Completion
Sessions are automatically marked as Completed once their end time has passed.
You do not need to update the session status manually, but can always cancel or reschedule the session after it has moved to completed to update it to the appropriate state.
Client Notifications
Clients automatically receive notifications when sessions are scheduled or updated.
Email Notifications
Clients will receive emails when: a session is booked, rescheduled, for an early cancellation, and a 24-hour reminder before the session starts.
In-App Notifications
Clients will also receive in-app alerts when a session is booked, rescheduled, for an early cancellation, a 24-hour reminder, and a 1-hour reminder before the session starts. Clients will also receive a push notification reminder 1 hour before the session begins.
